A quarter end bookkeeping checklist for Q3 2026 starts with one date. Your Form 941 is due Monday, November 2, 2026, because October 31 falls on a Saturday. If every payroll tax deposit was made on time, you get 10 more days, which is Tuesday, November 10, 2026.

Key takeaways
- Close the quarter in your books before you file anything. Filing from messy books is how corrected returns start.
- Match your payroll tax liability to what you actually deposited. Check this one first.
- Reconcile every bank, credit card and loan account to September 30, not to close enough.
- Clear the uncategorized pile and move personal spending out of the business account.
- Hand your CPA a review ready file with notes, not just a login.
Why the quarter end close matters
Most owners treat the quarter end as a date on the calendar. It is really your last cheap chance to fix a problem. A wrong entry caught in October costs minutes. The same entry found in April costs hours, and sometimes an amended return.
We have seen this pattern up close. In the QuickBooks files we review, the same five setup errors keep showing up, and a proper quarter end close would have caught most of them. Read the full breakdown here: the 5 QuickBooks setup errors we see most.

The 9 step quarter end close
- Lock the cut off. Pick September 30 as the hard stop. Anything dated after belongs to Q4. This one step stops a lot of timing mistakes.
- Reconcile every bank and credit card account to the September 30 statement. If your ending balance does not match the statement, you are not done.
- Clear the uncategorized and ask my accountant lists. The target is zero. Every leftover item is a guess your CPA has to make for you.
- Move personal spending out. Owner draws and personal charges should not sit in expense accounts. They shrink your profit on paper and confuse your return.
- Match payroll to the tax deposits. Your payroll liability accounts should agree with what you paid the IRS and your state. A leftover balance means a missed deposit or a wrong entry.
- Review accounts receivable and payable. Look for old invoices, duplicate bills and vendors you never paid.
- Collect missing vendor details. Ask contractors for their W-9 now, not on January 30. Year end is busy enough.
- Run a profit and loss and a balance sheet, then read them. Anything odd gets a short note. A negative asset or a huge uncategorized balance is a red flag.
- Hand your CPA a review ready file. Reconciled, categorized and noted. It saves them time and saves you billable hours.
What a clean close looks like
| Check | Clean | Messy |
|---|---|---|
| Bank and card accounts | Reconciled to September 30 | Last reconciled in spring |
| Uncategorized transactions | Zero | A long list |
| Payroll liabilities | Match deposits made | Unexplained balance |
| Owner spending | Posted to draws | Spread across expenses |
| Notes for your CPA | Attached to the file | Missing |
If you are more than a quarter behind, do not try to close September first. Fix the backlog in order. Our retroactive bookkeeping guide shows how. If you only need a monthly rhythm, use the month end close checklist each month so the quarter close takes hours, not days.
When to bring in help
If your books are late, your reconciliations never match, or this checklist makes your stomach drop, that is the signal. A bookkeeper who closes the books every month turns the quarter end into a quick review. That is exactly what our outsourced bookkeeping service does for business owners. CPA firms that want the same clean files for their clients can look at our CPA firm support page.
Frequently asked questions
When is the Q3 2026 Form 941 due?
Monday, November 2, 2026, because October 31 is a Saturday. If you made all your tax deposits on time, you have until Tuesday, November 10, 2026.
What does a quarter end close mean in bookkeeping?
It means reconciling every account, clearing uncategorized items, checking payroll liabilities and reviewing reports for the quarter before you file returns or send books to your CPA.
How long does a quarter end close take?
With clean monthly books it takes a few hours. With a backlog it can take days or weeks, which is why a monthly close matters.
Do I need a bookkeeper to close the quarter?
Not always. If your books are current and you reconcile monthly, you can do it yourself. If you are behind or unsure, a bookkeeper saves time and avoids penalties.
What happens if I file Form 941 from unreconciled books?
You risk wrong wage and tax figures, a mismatch with your deposits, and a corrected return. Reconcile payroll first, then file.
